Planning & daily routines

How often should an office be cleaned?

A good cleaning plan does not treat every room the same. It reflects how areas are used, where dirt builds up and when cleaning fits into the working day. Instead of a blanket interval, your property needs a clear allocation of tasks.

Meeting rooms need a cleaning frequency that matches their use.

First assess actual use

How many people are regularly on site? Are there visitors, shared workstations or widely varying attendance? These questions help you understand the demands on the rooms. Entrances, transitions to outdoor areas and kitchenette use should also be included.

A floor plan is a useful starting point but cannot replace an understanding of daily use. A small meeting room with many appointments may be used more intensively than a large, rarely occupied room. Talk to the people who use the spaces every day and collect specific observations rather than general impressions.

Plan areas and tasks separately

Washrooms, kitchens, workstations and walkways serve different purposes. Define the tasks for each area first. Only then decide how often each activity is needed. Emptying a waste bin and cleaning windows, for example, need not follow the same schedule.

  • Washrooms and kitchenettes: consider use, visible soiling and operational requirements.
  • Work areas: describe floors and cleared surfaces separately.
  • Entrances and walkways: observe incoming dirt and visitor frequency.
  • Meeting and ancillary rooms: include actual occupancy in planning.
  • Windows and other additional surfaces: schedule supplementary appointments separately.

Special requirements for individual rooms must be clarified separately. Share these during the needs assessment so they can be included in the quotation and cleaning plan.

Sample weekly schedule: what gets cleaned when?

Sample · Dated 8 October 2026. This schedule is a planning example, not a universal prescription for every office.

Fictional planning example, dated 8 October 2026: a 500 m² office in Berlin with 25 staff, used Monday to Friday. Six offices (300 m² in total, carpet), two meeting rooms (60 m², vinyl), reception and corridors (70 m², vinyl), a kitchenette/break area (30 m², tiles) and two washroom areas (40 m², tiles). The areas total 500 m².

For the assumed normal office use, three professional visits per week on Monday, Wednesday and Friday are planned. They cover offices, meeting rooms, corridors, washrooms and the kitchenette. On the other working days, the office team handles only the interim tasks below; additional cleaning visits are not included in this sample.

DayCleaning teamOffice team / interim tasks
MondayAll agreed areas: floors, cleared desks, waste bins, touchpoints, kitchenette and washroomsClear desks before the visit and report issues
TuesdayNo scheduled cleaning visitDeal with spills immediately, put personal dishes away and check kitchen and washrooms for soiling
WednesdayFull visit as on MondayKeep surfaces accessible and report heavily used areas
ThursdayNo scheduled cleaning visitInterim tasks as on Tuesday; report additional needs
FridayFull visit as on Monday; also wipe agreed accessible edges and clear shelvesSecure documents and clear surfaces
Saturday / SundayNo scheduled visit while the office is closedAgree separate cleaning for events or exceptional use
Three cleaning days: Monday, Wednesday and Friday. Office-team tasks do not replace any additional professional cleaning that is needed.

Clear intervals for this example

Floors, cleared desks, waste bins, washrooms and kitchenette: Monday, Wednesday and Friday. Accessible edges and clear shelves: Fridays. Less accessible skirting and agreed detail areas: a separate additional task on the first Friday of the month. Windows: separately commissioned in April and October as a planning example; actual needs and access are assessed on site.

If washrooms are heavily used every day, visitor traffic is high, or food waste or visible soiling builds up, this three-day schedule may be insufficient. The affected areas then need cleaning on each day of use or additional visits by agreement. Rarely used meeting rooms may need less frequent attention. Actual use and observed conditions determine the schedule.

The worked cost example prices the three regular visits. Individual tasks appear in the completed cleaning specification. Discuss a suitable ongoing schedule through our regular cleaning service; additional glass cleaning is planned separately.

Check whether the intervals work

An agreed plan should be reviewed in practice. Recurring complaints can have different causes: a task not carried out, an unsuitable interval or a requirement that was never agreed. It helps to record the area, time and specific observation.

At CFS Cleanwerk24 Facility Services, the cleaning specification, documented site-supervisor checks and conversations with the client form the basis for this coordination. This makes it easier to decide whether performance needs improvement or the plan needs adjusting.

  • Do issues always occur in the same areas?
  • When do they arise relative to the cleaning appointment?
  • Has use or occupancy changed?
  • Are additional tasks needed, or are existing tasks unclear?

Complement regular cleaning effectively

Window cleaning and deep cleaning serve different purposes from regular cleaning. Plan these deliberately as additional services. Condition, material and accessibility determine when and how they can be carried out effectively.

The aim is a clear plan with suitable intervals, not as many identical visits as possible. Tell us about use, location and your experience so far. Together, we clarify which tasks your property needs regularly and which services require their own appointment.
