A good cleaning specification for your building.
“Clean thoroughly on a regular basis” sounds clear but leaves many questions open. A cleaning specification turns that expectation into concrete tasks. It helps you review quotations, train the team and check quality later.

What a cleaning specification should do
The specification describes which services are agreed for which areas. It gives the client and cleaning team a shared reference point. The more specifically tasks are worded, the easier it is to check later whether the agreed scope was fulfilled.
It should fit the actual property. A generic list of as many tasks as possible is of little help if room types, materials or access details are wrong. First record the areas to be maintained and how they are used. For several buildings, it must be clear which information applies to which property.
What information belongs in it?
- Property and areas: location, groups of rooms and clearly assigned surfaces.
- Tasks: specific cleaning activities and the surfaces concerned.
- Intervals: frequency and, where relevant, agreed working days.
- Materials and special features: sensitive floor coverings, excluded equipment or inaccessible surfaces.
- Responsibilities: preparing rooms, access, contacts and feedback.
- Additions: separate tasks, extra appointments and expressly excluded services.
The division of information between the service list and an additional property agreement can vary. What matters is that the documents are consistent and the team has access to the current version.
Avoid vague umbrella terms. “Clean the kitchen” can mean very different things. Describe, for example, the agreed accessible worktops, sink areas and floors. Cleaning inside a fridge or washing dishes should not be assumed without agreement.
Completed sample cleaning specification for an office
Sample · Dated 8 October 2026. This completed table is a planning example. It does not describe an existing client contract and must be adapted to the actual property before commissioning.
Fictional planning example, dated 8 October 2026: a 500 m² office in Berlin with 25 staff, used Monday to Friday. Six offices (300 m² in total, carpet), two meeting rooms (60 m², vinyl), reception and corridors (70 m², vinyl), a kitchenette/break area (30 m², tiles) and two washroom areas (40 m², tiles). The areas total 500 m².
| Area / size | Specific tasks | Materials / method | Schedule | Exclusions |
|---|---|---|---|---|
| Offices · 300 m² | Vacuum carpet, damp-wipe cleared desks, empty agreed waste bins | Vacuum cleaner; suitable product and microfibre cloth for desks | Monday, Wednesday and Friday | Documents, personal items and IT equipment remain untouched |
| Meeting rooms · 60 m² | Wipe tables, vacuum and damp-mop vinyl, empty waste bins | Floor-compatible product, mop and microfibre cloth | Monday, Wednesday and Friday | Tables must be clear; presentation equipment remains untouched |
| Reception and corridors · 70 m² | Clean vinyl floors; wipe agreed door handles and touchpoints | Suitable floor cleaner and separate cloths | Monday, Wednesday and Friday | No facade or external glass cleaning |
| Kitchenette / break area · 30 m² | Clean worktops, sink and floor; empty waste bins | Surface-compatible product; separate cloths and mop covers | Monday, Wednesday and Friday | Dishes and refrigerator/oven interiors excluded |
| Washrooms · 40 m² | Clean toilets, washbasins, fittings, mirrors and floors; remove waste | Suitable washroom products; separate cleaning textiles | Monday, Wednesday and Friday | Paper and soap supplies excluded |
| Clear shelves / accessible edges | Wipe agreed accessible surfaces | Material-compatible method | Friday, during the regular visit | No furniture moving, ladders or dismantling |
| Skirting / other detail areas | Separately agreed detail cleaning | According to materials and access | First Friday of the month, separately commissioned | Additional service, outside the sample monthly price |
| Windows / glass surfaces | Clean agreed window surfaces | Suitable glass-cleaning method | April and October, separately commissioned | Measure glass separately; not part of the 500 m² floor area |
Products and equipment for regular tasks are included in the cost example. Methods must suit the surface and manufacturer instructions. Floor areas are counted once; shelves, skirting and windows do not add to the floor area.
Before the first visit, agree access, the contact person and the exact cleaning window after office use. The office team keeps agreed surfaces clear. Quality checks cover tasks due on that date; deviations are recorded by area and task.
The matching weekly schedule shows how work is distributed across the week. We agree your office cleaning and additional glass cleaning around the actual property.
How it becomes a quality benchmark
A check should refer to the agreed tasks. If a surface has not been cleaned, first establish whether it is included and whether the task was due at that appointment. Without that basis, the client and cleaning team may assess the same situation differently.
CFS Cleanwerk24 Facility Services carries out regular on-site checks through its site supervisor and documents the findings. Conversations with you supplement these checks. Specific feedback identifies the area, service and time, allowing the issue to be addressed directly.
The cleaning specification does not replace personal coordination. It makes discussions clearer because expectations and actual performance are considered on the same basis.
Keep the plan up to date
New workstations, additional rooms or different opening hours can change requirements. Check which tasks and intervals are affected. The price and schedule may also change. Both parties should be able to follow the new agreed scope and when it takes effect.
An up-to-date plan is especially useful for replacement staff. Clear information about access, materials and excluded areas makes induction easier. When preparing the quotation, discuss not just the first version but also how future adjustments will be handled. A maintained specification remains a working tool throughout the relationship.
