What does office cleaning cost? How to compare quotations.
A price per square metre alone says little about whether a quotation suits your office. What matters is which rooms are cleaned, how often and how much work is involved. This guide helps you describe your needs and compare quotations transparently.

What determines the work involved?
Two offices with the same floor area can have very different requirements. An open space is cleaned differently from many small rooms with closely arranged furniture. Floor coverings, accessible work surfaces, washrooms and kitchenettes also affect the tasks. A reliable quotation therefore requires an understanding of both room use and size.
Working times and access also matter. Must cleaning fit into a narrow time window? Are some rooms accessible only by arrangement? How are keys and the alarm system handled? These routines belong in the needs assessment so they do not cause misunderstandings later.

Separate regular and additional services
Regular office cleaning may include suitable floors, cleared work surfaces, washrooms, kitchen areas and agreed waste bins. The quotation must make clear which tasks are actually included. Window cleaning, intensive deep cleaning and other extras should be described separately.
Also ask how consumables are handled. Cleaning a washroom and supplying toilet paper are different services. It should likewise be clear whether cleaning products, equipment and travel are included in the quoted price. The specific agreement matters, rather than assumptions based on a short service heading.
Put quotations on the same basis
Compare services first, then prices. A cheaper quotation may cover a different frequency or fewer areas. Without the same basis, you cannot tell what accounts for the price difference. Ask for written clarification where necessary.
| Check | What should be clear |
|---|---|
| Areas | Rooms and excluded areas |
| Tasks | Specific activities rather than just “office cleaning” |
| Frequency | How often each task and area is cleaned |
| Additional costs | Materials, travel and extra services |
| Support | Contacts, cover and quality checks |
Also check whether prices refer to one visit, a month or a separate extra service. Prices excluding and including VAT should be clearly labelled. Different billing periods must first be brought onto the same basis for a fair comparison.
Worked cost example: a 500 m² office
Illustrative calculation · Dated 8 October 2026 · All amounts exclude VAT. These assumptions illustrate a calculation. They do not describe a client project and are not a binding quotation or a general CFS Cleanwerk24 Facility Services tariff.
Fictional planning example, dated 8 October 2026: a 500 m² office in Berlin with 25 staff, used Monday to Friday. Six offices (300 m² in total, carpet), two meeting rooms (60 m², vinyl), reception and corridors (70 m², vinyl), a kitchenette/break area (30 m², tiles) and two washroom areas (40 m², tiles). The areas total 500 m².
| Item | Assumption in this example |
|---|---|
| Cleaning days | Monday, Wednesday and Friday, after office use |
| Offices and meeting rooms | Vacuum carpet, damp-mop vinyl, wipe cleared desks and empty agreed waste bins |
| Reception and corridors | Clean accessible floor areas and wipe agreed touchpoints |
| Kitchenette and washrooms | Clean worktops, sink, washbasins, toilets, fittings and floors; remove waste |
| Materials and equipment | Suitable cleaning products, microfibre cloths, mop covers and vacuum cleaner included in the example; surface compatibility follows manufacturer instructions |
| Friday within the regular visit | Wipe agreed accessible edges and clear shelves |
| Other included items | Travel and standard equipment provision are accounted for in the assumed hourly rate |
| Excluded | Supply of toilet paper, paper towels and soap; window/glass cleaning, intensive carpet cleaning, deep cleaning and post-construction cleaning |
How the monthly net amount is calculated
This model uses €34.00 per hour excluding VAT and an assumed cleaning productivity of 150 m² per hour. This gives 3 hours 20 minutes per visit. The monthly average uses 4.33 weeks; actual calendar months may contain more or fewer visits.
| Calculation step | Result |
|---|---|
| 500 m² ÷ 150 m² per hour | 3 hours 20 minutes per visit |
| 3 visits per week × 4.33 weeks | 12.99 visits in an average month |
| 500 ÷ 150 × 3 × 4.33 | 43.30 hours in an average month |
| 43.30 hours × €34.00 excluding VAT | €1,472.20 per month excluding VAT |
The assumed productivity is a calculation input, not a promised output for every office. Access, soiling, furnishings and the number of washrooms affect the time needed. Cleaning products and equipment are included in this example; the listed additional services and supplies of consumables are outside the monthly amount.
How a different frequency changes the model
| Visits per week | Assumed productivity | Monthly amount excluding VAT |
|---|---|---|
| 1 | 125 m²/hour | €588.88 |
| 3 | 150 m²/hour | €1,472.20 |
| 5 | 220 m²/hour | €1,672.95 |

How to prepare a request for a quotation
To begin, the property location, type of use and a brief description of the required services are enough. A floor plan, area schedule or existing cleaning plan will help if available. You do not need to work out every detail in advance. Missing information can be clarified during a site visit.
At CFS Cleanwerk24 Facility Services, you receive a fixed price for the agreed scope after a site visit. Before starting, agree how later changes will be handled, such as additional rooms, a different frequency or temporarily heavier use. This keeps the quotation clear throughout the service.
